Terms of service

These terms cover the managed email service TradieMail provides. By signing up or paying, you agree to them.
1. About us and these terms
"We" and "us" means TradieMail. "You" means the business signing up for the service. Our services are for business use, including sole traders.
2. What the service includes
Depending on the plan you choose, we will:
- set up a Microsoft account in your business's name, with email on your own domain
- provide a Microsoft licence for each person on your plan, paid for by us as part of your subscription
- set up your email on your phone, tablet and in your web browser (Outlook on the web), and help you get started
- look after your email, including password resets, sign-in problems, adding or removing people and addresses, and spam or suspicious emails
- on the Business Basic and Business Standard plans, help you install and sign in to the Microsoft apps included in your plan
The service doesn't cover computer, laptop or phone repairs, printers, Wi-Fi or broadband, websites, or other software. We can quote separately for extra work, such as moving your old emails across.
We aim to reply to support requests the same working day. Support is provided on a reasonable-efforts basis and isn't a 24/7 emergency service.
3. Your Microsoft account
- The Microsoft account is set up in your business's name. Your use of Microsoft's services is also subject to Microsoft's own terms.
- We hold an administrator account so we can manage your email. You agree to us having this access for as long as you're a customer.
- You're responsible for how you and your staff use your email. Don't use it to send spam or anything illegal. Microsoft can suspend accounts that are misused.
- Keep your passwords private and use the sign-in protection we set up.
- Microsoft 365 doesn't include a full backup of your emails. Unless we've agreed a backup service with you, we don't back up your email.
4. Your domain
If we register a web address (domain) for you, it's registered in your name, and the first year's registration is covered by your setup fee. We'll remind you before it's due to renew. Renewal costs after the first year are yours unless we've agreed otherwise. If you already own a domain, you'll need to give us access to its DNS settings.
5. Prices and payment
- There's a one-off setup fee of £20, charged with your first payment.
- Plans are charged per person, either monthly or yearly, in advance. Prices are shown on our website and include the Microsoft licence.
- Payments are taken through Stripe, and renew automatically until you cancel.
- We're not currently registered for VAT, so no VAT is added to our prices.
- If Microsoft raises its prices, or our costs change, we may change our prices. We'll give you at least 30 days' notice by email, and you can cancel before the new price applies.
6. Missed payments
If a payment fails, Stripe will try again and email you to update your card. If payment still hasn't been made after these retries, your subscription will be cancelled. We'll then remove the Microsoft licences we provide, which will stop your email working. We'll contact you before that happens.
7. Changing your plan or number of users
To change your plan or add or remove people, contact us.
- Adding people or upgrading: we'll make the change straight away and charge a pro-rata amount for the rest of your current billing period. The full new price applies from your next billing date.
- Removing people or downgrading: the change takes effect from your next billing date, because Microsoft charges us for the licences until then. You'll keep access until that date. On yearly plans, this means your renewal date.
8. Cancelling
- Monthly plans: cancel at any time from the subscription page linked on our website. Your service carries on until the end of the month you've paid for. We don't refund part months.
- Yearly plans: these are paid upfront and aren't refundable part-way through the year, because we commit to Microsoft for the full year. Cancelling stops the plan renewing at the end of the year.
- Setup fee: not refundable once we've started setting up your account.
We can end the service by giving you at least 30 days' notice by email. If we do, we'll refund any time you've paid for beyond the end date.
9. When you leave
Your Microsoft account belongs to your business, so your email address and mailboxes stay yours. When your service ends:
- the licences we pay for stop at the end of your paid period, so you'll need to add your own licences in Microsoft before then to keep your email working
- we'll make sure you have full administrator access, then remove our own access
- if you're moving to another provider, we can help within reason, and quote for any larger piece of work
10. Suspending the service
We may suspend the service if payment is overdue, if an account appears to have been compromised, or if it's being used to send spam or for anything illegal. Where we can, we'll tell you first.
11. Our responsibility to you
- We'll provide the service with reasonable care and skill.
- Email runs on Microsoft's systems. We're not responsible for Microsoft outages or problems outside our control, but we'll help you through them.
- We're not liable for indirect losses, such as lost business, lost profits or lost data.
- Our total liability to you in any 12-month period is limited to the amount you've paid us in that period.
- Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can't be limited by law.
12. Your information
Our privacy notice explains how we use personal information. For information held in your Microsoft account, we act on your instructions as your data processor and only access it when needed to provide the service.
13. Changes to these terms
We may update these terms. If a change affects you, we'll email you at least 30 days before it takes effect.
14. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales will deal with any dispute.
